SD-15.8 — RFP & DDQ Management

Purpose
Sources, writes, reviews and maintains the firm’s responses to requests for proposal, requests for information and due-diligence questionnaires. SD-15.8 is the recognised, separately-staffed discipline behind a mandate bid: a prospective institutional client or its consultant issues an RFP or a DDQ, and the firm must answer it accurately, completely and on deadline. It maintains the answer library — the curated, approved, current answers to the recurring questions — and assembles each response from it. It is not the sales relationship — that is SD-15.7, which owns the opportunity SD-15.8’s response supports — and it is not the operational due diligence of a manager, which is the buyer’s side, SD-03.3.
Service Operations
- Source and triage RFPs and DDQs — receive incoming RFPs, RFIs and DDQs, assess them, and make the bid / no-bid decision with SD-15.7.
- Maintain the answer library — keep the curated, approved, current library of answers to the recurring questions.
- Assemble the response — write and assemble each RFP / DDQ response from the answer library and the bespoke content.
- Review and approve the response — review each response for accuracy and completeness, and route promotional content through SD-15.6.
- Manage the response calendar — manage the deadlines and the submission of every live bid.
Inputs and outputs
- Inputs: incoming RFPs, RFIs and DDQs; the answer library; product, performance, operational and firm data from across the model; the bid decision from SD-15.7.
- Outputs: submitted RFP / DDQ responses — consumed by SD-15.7 (the opportunity), the prospective client and its consultant.
Entities
- Consumes: the firm-wide data the answers draw on; E-01 Legal Entity; the SD-15.7 bid decision.
- Owns: the RFP / DDQ answer library — a process artefact.
Standards
- No external standard governs RFP / DDQ methodology; the standardised institutional and consultant DDQ templates are the reference.
