SD-13.11 — Document & Content Management

Purpose
Manages the institution’s investment documents and content — the repository, the deal rooms, the indexing, the versioning and the retention. Much of what an institutional investor knows arrives and lives as documents: manager reports, capital-account statements, LPAs and side letters, IC papers, trade confirmations, prospectuses, research notes, board minutes. SD-13.11 is the Service Domain that holds and governs those documents as artefacts — it is the repository. It is distinct from SD-13.6 GP & Manager Report Ingestion, which extracts structured data from a document: SD-13.11 stores and governs the document; SD-13.6 mines it. A capital-account statement lives in SD-13.11’s repository, is registered with its metadata here, and is read by SD-13.6 there.
Service Operations
- Document repository management — operate the document store: ingest documents, hold them securely, and make them retrievable.
- Document metadata registration — register each document with its structured metadata — what it is, when it was filed, the period it is as of, what durable record it concerns, where it came from — so it is discoverable and provenance-linked.
- Document indexing and search — index document content and metadata so a document can be found by what it is about, not only by where it was filed.
- Deal-room management — operate the secure data rooms for live transactions — provisioning access, organising diligence materials, tracking who has seen what — supporting BD-03 and BD-04 diligence.
- Version control — maintain the version history of documents that are revised — drafts of an LPA, successive IC papers — so the current and prior versions are both addressable.
- Access control and information barriers — enforce who may see which documents, including the information-barrier restrictions SD-10.4 requires.
- Retention and disposal enforcement — apply the retention schedule — hold documents for their required period and dispose of them when it expires — and apply legal holds where they override the schedule.
- Document-to-record linking — maintain the link between a document and the durable record it concerns (a holding, a fund, a legal entity, a transaction), so unstructured content is queryable in the correct context.
Inputs and outputs
- Inputs: documents from across the firm — manager reports and statements (from manager portals and administrators), legal agreements (BD-04, SD-14.9), IC papers (SD-04.5), trade confirmations (SD-12.3), research notes (BD-02), board minutes (SD-16.1); the retention schedule and access policy.
- Outputs: the governed document repository and the registered document metadata — consumed by SD-13.6 GP & Manager Report Ingestion (the documents it extracts from), SD-14.9 Legal & Contract Management, SD-03.3 Operational Due Diligence, SD-14.8 Internal Audit, and any domain needing the source document behind a data point.
Entities
- Owns: E-15 Document Metadata — the structured record about a source document: what it is, its filing and as-of dates, the durable record it concerns, its storage location and source. SD-13.11 owns the document-as-artefact and its metadata; it does not own the durable records the documents concern.

book— documents link to positions on either book), PM-01 Fund & Vehicle, PM-09 Fund Investment — as the link targets; the SD-04.5 documents from across the firm; the SD-12.3 documents from across the firm; the SD-14.9 documents from across the firm; the SD-16.1 documents from across the firm. - Note: E-15 is the provenance and retrieval backbone for the unstructured estate — every figure SD-13.6 extracts is traceable to an E-15 record.
